Integration with Urban Sports

This integration allows a school to publish in-person and online classes created in Learn DeROSE on Urban Sports. Learn keeps upcoming events synchronized and receives student bookings from Urban Sports.

The school needs to have loaded its Provider ID and, depending on the publishing modality, the In-person location ID and/or the Online location ID from Urban Sports.

Before publishing

Check that the class is properly configured in Learn:

• It must be an online class or an in-person class.
• It must have a title, schedule, and duration.
• It must have an assigned author or instructor. Learn uses that author to create or link the trainer in Urban Sports.
• If booking is required, check the vacancy limit and until when bookings and cancellations are allowed.

The URBAN SPORTS tab only appears when the account has configured the Provider ID and the required location for that modality.

How to publish a class step by step

1. Enter Learn's advanced panel from /admin.

2. Open Online Classes or In-person Classes, as appropriate.

3. Search and open the class you want to publish.

4. Go to the URBAN SPORTS.

5. tab Click on.

6. Add listing in Urban Sports:

   • Complete the configuration: Category.
   • choose the Urban Sports category that best represents the class: Publishing.
   • confirm it is the correct class: Published on Urban Sports.
   • leave it activated to publish it: Urban Sports Vacancies.

7. leave it empty to share the class booking limit, or enter a number to reserve exclusive spots for Urban Sports.

8. Save the listing Return to the URBAN SPORTS.

tab of the class and open the listing to verify that upcoming events were created.

Upon saving, Learn immediately synchronizes the upcoming available dates and maintains a moving window of 14 days published

Configuration options	Option	What it controls
Recommendation	Category.	The category with which the activity appears on Urban Sports.
Choose the most specific available option	Publishing. The Learn class that syncs.	Each publication can have only one Urban Sports listing.
Confirm modality and schedule before saving	Published on Urban Sports. Defines if the class is published on Urban Sports.	When deactivated, Learn cancels future active events and keeps the listing.

Leave empty to share the general class capacity

• How vacancies work: Empty field. Urban Sports shares the booking limit configured in the class.
• Bookings made in Learn and Urban Sports occupy the same capacity: Defined quantity. those spots are reserved for Urban Sports.
• The quantity cannot exceed the class booking limit.

If no spots are available, Learn rejects new Urban Sports bookings; it does not send them to the waitlist

Data that Learn automatically takes from the class:

• No need to repeat these data in the Urban Sports listing.

• Title and description.

• Author or instructor.

• Days and schedules.

• Duration.

• Late cancellation rule, up to a maximum of 12 hours.

• Class capacity, when exclusive vacancies are not defined:

  • Modality and location.
  • In-person classes use the in-person location configured in the account.

Online classes use the online location and automatically receive a public access link from Learn.

For a hybrid activity, configure online and in-person publishing separately if you want to offer both modalities on Urban Sports

What happens when the class changes:

• Learn resynchronizes Urban Sports automatically when.
• The class is modified and saved.
• Schedules or closed periods change.
• A booking is created, canceled, or modified.

The Urban Sports listing is edited and saved. Additionally, Learn executes a general synchronization daily.

If a data that Urban Sports does not allow editing directly changes, Learn cancels the previous event and creates a new one with the updated information

If a synchronization error appears, do not duplicate the listing:

• First review the configuration and contact Learn Support: Frequent problems.
• The URBAN SPORTS tab does not appear: missing Provider ID, corresponding location, permissions, or the class does not belong to the school.
• Cannot save: check that there is a category, an author, and the required account configuration.
• The number of vacancies is rejected: cannot be zero or exceed the class booking limit.
• The online class has no link: save the publication; Learn automatically configures a public link for Urban Sports.

A date does not appear check the calendar, closed periods, and that the listing is published or not in Urban Sports. It does not belong to the school. Event marked as cancelled is not active.
